Event Producer

SUMMARY: The Event Producers for innoVia/Zenevent play a key role in helping the sales team win business and then manage the customer and our internal team through the event design/execution process. The EP will require outstanding organizational and communication skills along with the ability to conduct platform demonstrations and capability presentations to current and future clients. The EP will have extensive interaction with customers, presenters and sales, production and creative departments. The EP will report directly to Leahe Murphy, Sr. Event Producer.

DUTIES AND RESPONSIBILITIES:

  • Assist sales and marketing teams in conducting capability presentations, product demonstrations and social media events/content.

  • Assist sales team as a technical sales engineer in effort to keep their proposals accurate, profitable and timely.

  • Consult with client stakeholders and design virtual events that support client’s communication goals.

  • Engage with clients and manage their content deliverables.

  • Manage client registrations, presentations, polling questions, pre-recorded video sessions, surveys, Q&A, event gamification and other deliverables that may be part of an event agenda.

  • Administrate and manage web platform for clients and internal team.

  • Collaborate with internal teams such as Production, Sales and Creative to complete event plans, timelines, assignments and manage work provided by contributors (build events, schedule sessions, exhibitor content, recordings and manage overall progress of the event).

  • Manage all integrated technologies associated with the platform such as streaming services, webinar applications and tools.

  • Assist as needed with day of event services as required by production team.

  • Vendor sourcing and management.

  • Ongoing evaluation of virtual event technology and research new solution offerings for our customers.

  • Performs other related duties as assigned by management.

QUALIFICATIONS:

  • Bachelor’s Degree (BA) from four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience.

  • 2+ years customer facing experience.

  • Computer skills required: Web Conferencing Services (Zoom, BlueJeans, Microsoft Teams, WebEx, GoToMeetings, Vimeo); Microsoft Office Suite with excellent PowerPoint skills.

  • General Computer knowledge, PC & Mac.

  • General Audio-Visual knowledge, video switching, recording, etc.

Production Coordinator

SUMMARY: The Production Coordinator will be responsible for the execution of daily tasks leading to and during events. This position will work closely with the event producer, event design team, and creative to manage all event deliverables including labor and equipment resource. The Production Coordinator will report to the Director of Production.

DUTIES & RESPONSIBILITIES:

  • Collaborate with internal teams to determine equipment and labor needs for events

  • Secure equipment and labor resources, including the booking of onsite Technical Directors (TDs)

  • Generate and track P.O. process from procurement through to final payment

  • Track and maintain event profitability

  • Maintain relationship with vendor partners to ensure highest level of service

  • Build event plans and logistics

    1. Assist in the creation and development of production schedules

    2. Create CAD’s and working plans for each event

    3. Create electronic show packets for distribution to technical staff

    4. Establish and maintain contact with venue throughout the planning process

  • Perform daily checkins with onsite TD via Slack

  • Confirm delivery and schedule with vendors via phone or email

  • Vendors and 1099 operators sourcing and management

  • Ongoing evaluation of virtual & F2F event technology and research new solution offerings for our team and customers

  • Assist in development of better processes to serve our customers

  • Perform other related duties as assigned by management

QUALIFICATIONS:

  • 2 years minimum of planning and managing live events

  • Basic CAD’s and drafting experience

  • Excellent oral and written communication skills

  • Strong knowledge of audio visual applications and tools

  • Must have excellent skills of Microsoft Office Suite, especially PowerPoint

  • Comfortable working within PC & Mac environment

  • Strong Audio-Visual knowledge, video switching, recording, etc.

  • Ability to manage multiple tasks
